Terms of service

These terms cover your use of HostelSathi. Creating an account means agreeing to them.

Your account

You are responsible for what happens under your account, including anything your staff do with the access you grant them. Keep credentials private, give each person their own login rather than sharing one, and remove access when someone leaves. Tell us promptly if you believe an account has been compromised.

You must be authorised to act for the hostel you register, and the information you give us must be accurate.

Acceptable use

Do not use HostelSathi to:

  • Store data you have no lawful basis to hold, or collect more about a resident than running the hostel requires.
  • Attempt to reach another organisation's records, probe the isolation between tenants, or interfere with the service for anyone else.
  • Resell or white-label the service without a written agreement with us.

Your data belongs to you

You own the records you and your staff enter. We process them to provide the service and for nothing else. We claim no ownership over them and do not use them to train anything.

We retain the rights to the software itself: a subscription is a licence to use it, not a transfer of it.

Plans, billing and changes

Every account starts on the free plan for 90 days with no card required, limited to one hostel and 10 students. Paid plans are billed monthly or annually in advance, in Nepali rupees.

If we change prices we will give existing customers notice by email before it affects them, and the change will not apply mid-term on an annual plan.

Availability

We work to keep HostelSathi available and take regular backups, but no online service is up every minute. We may take it down briefly for maintenance and will avoid peak hours where we can. A contractual uptime commitment is available on the Enterprise plan.

Except where the law provides otherwise, the service is provided as is, and our liability is limited to the fees you paid us in the twelve months before a claim.

Ending the agreement

You can cancel at any time from the application or by emailing us; the refund policy sets out what happens to money already paid. Your data stays exportable for 30 days after a subscription ends.

We may suspend an account that breaches these terms or goes unpaid, and will contact you before doing so unless the breach makes that unsafe.

Governing law

These terms are governed by the laws of Nepal, and disputes fall to the courts of Kathmandu.
